Privacy Policy.

How we handle your personal information — with care, and in line with the Privacy Act 2020.

This Privacy Policy explains how Max’s Property Services collects, uses, stores and discloses personal information. We are committed to the principles of the Privacy Act 2020 (New Zealand) and to handling your personal information with the same care we bring to your property.

1. Who we are

Max’s Property Services is a sole trader business operated by Max Beliak (the “agency”, “we”, “us”, “our”) providing residential and commercial property maintenance services in the Auckland region.

2. The personal information we collect

We collect information you provide when you request a quote, book a service, contact us, or enter into an agreement with us. This may include:

  • Your name and the name of the property owner (if different)
  • Contact details — phone, email, postal address, property address
  • Information about your property — photographs, access notes, gate codes, alarm codes
  • Service preferences, scheduling preferences, communication preferences
  • Payment information needed to issue invoices (we do not store credit card details — payments are processed through Xero, Stripe or your bank directly)
  • Records of our communications with you — emails, text messages, call notes
  • Photographs of work performed at your property for our records, your records, and (only with your written permission) marketing use

3. How we collect it

We collect personal information directly from you — through our website forms, by phone, by email, and in person when we visit your property. Where we receive a referral, we collect only the referrer’s name (with their permission) so we can thank them.

4. Why we collect it

We collect personal information for purposes connected with delivering and improving our services, specifically to:

  • Prepare quotes and respond to enquiries
  • Schedule, perform and follow up on visits
  • Issue invoices and receive payment
  • Send photographic handovers and visit reports
  • Maintain a record of work performed at your property
  • Communicate with you about services you have engaged us for
  • With your separate, opt-in consent, send occasional updates (no more than four per year)
  • Meet our legal obligations under tax, health and safety, and consumer protection law

5. How we use, store and protect it

Your personal information is stored in our cloud accounting system (Xero), our customer relationship system, our email (Google Workspace), and on Max’s personal devices which are password-protected and encrypted. We use New Zealand and Australian data centres where available. Information is held only for as long as we have a legitimate purpose or legal obligation to hold it.

We take reasonable steps to protect information from loss, unauthorised access, modification or disclosure — including encrypted devices, two-factor authentication on all business accounts, and limited access on a need-to-know basis.

6. Who we share it with

We do not sell personal information. We share information only where necessary to deliver our services to you or where the law requires us to. This includes:

  • Our accountant for tax and financial reporting
  • Xero (cloud accounting and invoicing — a service provider with strong privacy controls)
  • Subcontractors we engage with your knowledge for specific work (e.g. arborists, electricians) — we share only what they need to do the job
  • Payment processors (e.g. Stripe, your bank) where you pay by card or direct debit
  • Government agencies where required by law (Inland Revenue, WorkSafe, Police on lawful request)

We do not transfer personal information overseas except to cloud service providers (Xero, Google Workspace, our website host) operating from facilities with privacy protections comparable to New Zealand’s.

7. Your rights under the Privacy Act 2020

You have the right to:

  • Access the personal information we hold about you
  • Correct any information that is inaccurate or out of date
  • Ask us to delete your information where we no longer need it (subject to legal retention requirements, such as the seven-year tax record requirement)
  • Withdraw consent for marketing communications at any time
  • Make a complaint to us, and if not resolved, to the Office of the Privacy Commissioner (privacy.org.nz · 0800 803 909)

To exercise any of these rights, contact Max directly. We will respond within twenty working days as the Act requires.

8. Photographs of your property

We take photographs at every visit for our records and to send you the photographic handover described in our Standard of Care. These photographs are stored privately and are not shared except with you. We will never use photographs of your property in marketing, on social media, or anywhere publicly without your separate written permission. When we ask for permission, we will tell you exactly where and how the photograph will be used, and you can refuse without any effect on the service we provide.

9. Cookies and website analytics

Our website uses essential cookies needed for the site to function. We also use Google Analytics (through MonsterInsights) and Yoast SEO to understand how visitors find and use the site. We do not use advertising cookies and do not allow third-party advertising on the site. You can disable cookies in your browser without losing the ability to use the site.

10. Children

Our services are directed at property owners and managers. We do not knowingly collect personal information from people under sixteen.

11. Changes to this policy

We will update this policy when our practices or the law changes. The “Last updated” date at the top shows when. Existing clients will be notified by email of material changes.
